Start, complete or cancel a Booking

What each status means, how to move a Booking on, and when hourly charges are final.

Every Booking has a status, shown on View Booking together with the actions you can take next.

The statuses

  • Pending: a request waiting for confirmation, for example from online booking. It does not hold its Resource yet.
  • Confirmed: holds its Resource for the scheduled time. New Bookings start here.
  • In progress: the Resource is in use. Only the end, Offerings and internal notes can still change.
  • Completed: the Booking has ended and is read-only.
  • Cancelled: no longer holds its Resource and is read-only.

Move a Booking on

  1. When the Customer arrives, choose Mark as in progress. On the Layout this is Start this Booking.
  2. When they leave, choose Mark as completed and Confirm completion. The Resource is released and the Booking becomes read-only.
  3. To cancel instead, choose Cancel booking. You can add an internal Cancellation reason. Charges and activity stay recorded.

Online requests

A Pending request from your booking link shows an Online request section. Owners and Managers choose Confirm Booking or Decline…; the Customer gets an email either way. A request that is not confirmed in time closes by itself.

Good to know

  • Only one Booking per Resource can be in progress. Complete the previous one first.
  • A Booking cannot be completed or cancelled while order items are still waiting: serve or withdraw them first.
  • Offerings charged per hour are billed from the actual start to the completion, in started billing steps. They can be marked paid once the Booking is completed.
  • Staff can change statuses only for Bookings at their own Locations.
